VeloVroom ("we", "our", "us") is a dealership management platform operated by CleverByte Technologies. This privacy policy explains how we collect, use, and protect your information when you use our platform, mobile application, and WhatsApp services.
1. Information we collect
We collect the following types of information:
- Account information: Phone number, name, email address, and role within the dealership when you create an account or are added as staff.
- Customer data: Name, phone number, email, address, vehicle interest, and communication history of dealership customers. This data is entered by dealership staff or captured from lead sources.
- WhatsApp messages: When a customer communicates via WhatsApp with a dealership using our platform, we store the conversation content to provide CRM functionality and AI-assisted responses.
- Usage data: How you interact with the platform — pages visited, features used, login times.
- Device information: Device type, operating system, and app version for the mobile application.
2. How we use your information
- To provide the dealership management platform and its features (CRM, lead management, quotations, analytics, WhatsApp automation).
- To facilitate communication between dealerships and their customers via WhatsApp Business API.
- To generate quotations, follow-up reminders, and business analytics for the dealership.
- To send automated WhatsApp messages on behalf of the dealership (welcome messages, quotation PDFs, follow-up reminders, daily reports).
- To improve our platform through aggregated, anonymized usage analytics.
- To provide customer support and respond to enquiries.
3. WhatsApp messaging
VeloVroom integrates with the official WhatsApp Business API (Meta Cloud API) to enable dealerships to communicate with their customers. Key points:
- Messages are sent from the dealership's verified WhatsApp Business number, not from VeloVroom directly.
- Customers can opt out of receiving messages at any time by replying "STOP" to the dealership's WhatsApp number.
- We use AI-powered auto-replies to answer common customer queries (pricing, test ride booking). All AI responses are clearly automated.
- Message content is stored securely and only accessible to the specific dealership's authorized staff.
- We comply with Meta's WhatsApp Business Platform policies and WhatsApp Commerce Policy.
4. Data sharing
We do not sell your personal data. We share data only in these circumstances:
- Within the dealership: Customer data is shared among authorized staff members of the same dealership as needed for CRM operations.
- Service providers: We use Amazon Web Services (AWS) for hosting, Google Cloud for email processing, and Meta (WhatsApp Business API) for messaging. These providers process data on our behalf under strict agreements.
- Legal requirements: We may disclose data when required by law, court order, or government regulation.
5. Multi-tenant data isolation
VeloVroom is a multi-tenant platform serving multiple dealerships. Each dealership's data is strictly isolated using PostgreSQL row-level security. Dealership A cannot access Dealership B's data under any circumstances. Platform administrators can view aggregate statistics but cannot access individual customer records.
6. Data security
- All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
- Database access is restricted by row-level security policies.
- JWT-based authentication with short-lived access tokens (15 minutes).
- All API access is logged for audit purposes.
- Regular security reviews and updates.
7. Data retention
We retain customer and lead data for as long as the dealership maintains an active account. WhatsApp messages are retained for 12 months. Dealerships can request deletion of specific customer data at any time. Upon account termination, all dealership data is permanently deleted within 30 days.
8. Your rights
Under applicable Indian data protection laws, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data.
- Opt out of WhatsApp messages by replying "STOP".
- Withdraw consent for data processing.
9. Cookies
The web dashboard uses essential cookies for authentication (JWT tokens stored in browser). We do not use advertising cookies or third-party tracking scripts.
10. Children's privacy
Our platform is designed for business use by dealership professionals. We do not knowingly collect data from individuals under 18 years of age.
11. Changes to this policy
We may update this privacy policy from time to time. We will notify registered users of significant changes via the platform or email.
